Importing Your Data via Excel

Download the Excel template

There you'll find two types of sheets:

  1. Empty sheets to fill in with data (Clients, Groups, Loan Accounts, Savings Accounts and Chart of Accounts).
  2. Sheets with data, such as IDs to be used as a reference when filling the others (Branches, Credit Officers, Centres, Loan Products and Savings Products).

The types of sheets can be differentiated by the color of the column titles: the empty sheets have green cells titles and the pre-filled sheets have grey cells titles. The content of both types of sheets is editable.

Please be Aware
The import of transactions via Excel will not create accounting Journal Entries.
Please Note
The downloaded template can have the only type of extension which is XLSX. No other file extension is allowed, neither upload or download (e.g: XLS format).

Fill in the Data

The template can be either manually filled from your old system or you can use mapping tools.

Each sheet contains specific field validations (please review the extensive validations) to ensure data is entered correctly. Examples include: mandatory fields that cannot be empty, certain date formats allowed with/without timestamp, a specific length that is allowed, and specific syntax for references between entities (e.g. branch-center-client).

For custom fields, validations are based on the type of the custom field:

Field Type Description
Selection Fields Dependent Selection custom fields can only have values from the available options.
Linked Fields - User linked custom fields are referenced with the username of a credit officer
- Group/client link custom fields are referenced with group/client ID.
Checkbox Fields Can have only two values: true/false.

Custom fields can be seen as required fields or fields that need to have specific pattern or length.

Please be Aware
The Loan Accounts state field is case sensitive. The following values are allowed (Pending Approval, Approved, Rejected, Withdrawn, Written Off, Closed, Active) otherwise the account state will be seen as invalid.
Date fields support only the format dd.MM.yyyy, regardless of the date format set on the tenant. Any other date format used is considered invalid.

Validate the Excel file and import your data

Validate file (success/error report)

After all data is in the excel template, it’s ready to be validated. In order to validate the data, go to Administration > Data > click on Choose File and choose the file you want to import > click on the Import Data button.

Please Note
Until a file is chosen to be uploaded the Import Data button is disabled.

During the import a progress bar is displayed with a percentage of the data that has been imported.

If the validation is successful, i.e. if there are no errors in the uploaded file, on the bottom of the screen will be displayed an orange bar which notifies the user that the data migration is in progress.

The status of the uploaded file is Draft during this phase.

Info related to Import process

Please Note
No UI action can be performed during the import.

This intermediate state before the approval can be used to look at the data uploaded into Mambu and see if everything is working correctly.

After the file is uploaded under ‘Import Events’ section are displayed some information about data from some sheets like how many loan accounts, clients etc. were imported - with two options: Approve and Reject.

In case of errors
A notification message will be displayed and an Excel file where are retrieved all the errors (highlighted in red) and also the comments about the how to fix them are displayed in ‘Errors’ sheet ’ from the file (the last sheet from the file).
Please be Aware
The downloaded error report file must have the extension .xlsx.

After all errors are corrected the file can be again uploaded to be validated and proceed with the import. After the validation is successfully done a confirmation notification is displayed on the page.

Import Data (Approve/Reject)

After the import is successfully done user has two options: to approve the import or to reject it. Both actions: approve and import need to be confirmed by the user.

To confirm the import click on Approve Import -> Confirm.

If the import is approved the status of the import changes from Draft to Approved, and all clients and groups are already assigned to branches, centers, and credit officers; the custom fields are filled for every entity, and the accounts are assigned to their products.

The orange bar will disappear from the bottom of the screen, showing that the data migration is now complete.

Please be Aware
The data will be permanently stored and will no longer be removable.

Revert Data Import

If there are any mistakes while looking at the imported data when the migration is in progress, then data can be reversed by clicking on Reject Import > Confirm.

After the import is reversed the status of the import changes from Draft to Reverted and all uploaded data is removed from the system.
